Tektura is an architecture practice registered in the Netherlands, with studios in Rotterdam and Antwerp. For the purposes of the General Data Protection Regulation we are the data controller for the information described in this policy.
Our registered address, company number and VAT number are set out at the foot of every page. Data protection enquiries should be addressed to the studio and marked for the attention of the data protection contact.
What we collect
When you contact us. Your name, email address, telephone number if you give it, and whatever you choose to tell us about your project. This comes from you directly, by email, telephone or through this website.
When you work with us. Contact details for you and your colleagues, correspondence, meeting notes, site photographs that may include people, and the commercial records associated with an appointment — instructions, invoices, and payment information. On some projects we also hold information about building occupants where it is necessary for the design, such as accessibility requirements.
When you visit this website. Pages visited, approximate location derived from your IP address, referring site, browser and device type. This is aggregate analytics data and we do not attempt to identify individuals from it.
When you apply for a job. Your CV, portfolio, covering letter, correspondence and interview notes. If you tell us about a disability or an access requirement we hold that too, and use it only to make the process work for you.
We do not buy contact lists, and we do not collect special category data except where you volunteer it in a job application.
Why we hold it, and on what basis
We rely on three lawful bases.
Contract. Where you are a client, or an employee, we process your data because we cannot deliver the work or pay you without it.
Legitimate interests. Responding to enquiries, maintaining project records, keeping in touch with past clients and collaborators, and understanding how this website is used. We have considered whether this is fair to you in each case, and you can object at any time.
Legal obligation. Financial and tax records, health and safety documentation, and information we are required to retain under construction and building safety legislation.
We do not use your data for automated decision-making or profiling.

This site uses a small number of cookies. Some are necessary for the site to function and cannot be turned off. Others are analytics cookies that tell us which pages are read and for how long.

Project consultants and contractors, where they need contact details or design information to do their part of the work. This includes engineers, cost consultants, contractors and local authorities.
Our service providers, including email, file storage, accounting and website hosting. These act on our instructions under written agreements and cannot use your data for their own purposes.
Statutory bodies, where we are required to provide information — planning authorities, building control, health and safety regulators, and tax authorities.
We do not sell personal data and we do not share it with third parties for marketing.
International transfers
Some of our service providers operate outside the European Economic Area. Where data is transferred outside the EEA we rely on adequacy decisions or on the European Commission's standard contractual clauses, and we satisfy ourselves that an equivalent level of protection applies.
How long we keep it
Enquiries that don't become projects: two years, then deleted.
Project records: fifteen years from completion. This is longer than we would otherwise choose, and it reflects the limitation periods that apply to construction contracts and the professional indemnity requirements that go with them.
Financial records: seven years, as required by Dutch tax law.
Unsuccessful job applications: twelve months, so we can consider you for other roles. Tell us if you would rather we deleted it sooner and we will.
Your rights
Under GDPR you have the right to ask us for a copy of the data we hold about you; to have inaccurate data corrected; to have data erased where we no longer have a reason to hold it; to restrict or object to processing; and to receive your data in a portable format.
Write to us using the studio details in the footer. We will respond within one month. There is no charge, and we will not ask you to justify the request.
If you are unhappy with how we have handled your data you can complain to the Autoriteit Persoonsgegevens in the Netherlands, or to the supervisory authority in your own country. We would rather you told us first, but you are not obliged to.
Security
Data is held on encrypted systems with access limited to people who need it. Devices are encrypted and access requires multi-factor authentication. We keep a record of any personal data breach and will notify you and the relevant authority where the law requires it.
Changes to this policy
We update this policy when our practices change or the law does. The date at the top shows when it was last revised. Material changes will be flagged on this page rather than made quietly.
